This Privacy Policy explains what PharmaConex does with your personal data if you are a locum, candidate, customer or supplier.

Please read this policy carefully to understand our practices relating to your personal data and how we collect, use and process this.

Your privacy is important to us, and we are committed to protecting and safeguarding your data privacy rights.

If you do not accept that we process your data in the manner detailed in this Policy, please do not submit any personal data to us.

What personal data we collect and how we use it

Pharmaconex collects and uses your personal information to provide the best possible employment opportunities that match your criteria.

Personal data will generally consist of your name, contact details and other information contained in your CV. We only ask for details that will genuinely help us to help you, such as your name, age, contact details, education details, employment history, immigration status, banking information (if you are to be paid via Pharmaconex), Garda vetting requirements and PPS, where applicable. Where appropriate we may ask for reference information from previous employment.

Pharmaconex will confirm your consent for us to hold your personal information before it is stored and processed. The personal data will be requested, stored, processed, used and disclosed by Pharmaconex for the following reasons:

  • We obtain your information from you, when you register on our site, we obtain your information for locum and recruitment purposes.
  • We use your information to send to our clients to put you forward for vacancies when you have given us your permission
  • We use your information to help us communicate with you about relevant job opportunities and provide career guidance and support, to inform you of locum opportunities and other marketing material that may be of interest to you.
  • Third-parties where we or our client have engaged them to deliver services that have been requested. These may include references, qualifications, criminal reference checking services and/or psychometric evaluation or skill tests. These will be advised to you as part of the process and you have the option to decline.

For locums who are payrolled via PharmaConex we will also retain information such as bank account details, PPS number and Garda vetting details. This data will be held for as long as it is legally required to be held by us.

This list is not exhaustive, and we may seek to process, use or disclose your information for any other purpose which has not been listed above, but always with your explicit consent.

We reserve the right to assign your data to a third party in the event of a sale, merger, liquidation, receivership or transfer of all the assets of our company in circumstances where the third party agrees to observe the terms of this Privacy Policy. PharmaConex will notify you of such circumstances and you will be afforded an opportunity to opt-out.

How we collect data

We obtain your personal data by the information which you provide us with, when you register on the website and when you update your information.

We obtain information from third parties such as the PSI, references and via Garda vetting, this instance of obtaining information from third parties are consented to by you before we begin the process.

Who we share data with

We may share your personal data with various parties, in various ways and for various reasons. Primarily we will share your information with prospective employers to increase your chances of securing the job you want. Unless you specify otherwise, we may also share your information with any of our group companies and associated third parties such as our service providers where we feel this will help us to provide you with the best possible service.

How we safeguard data

We care about protecting your information. That’s why we put in place appropriate measures that are designed to prevent unauthorised access to, and misuse of, your personal data.

How long we keep data

We will retain your personal data on our database unless you contact us to remove your information. When you request that your data be removed, we will do so unless we believe in good faith that the law or other regulations require us to preserve it (for example, because of our obligations to tax authorities or in connection with PSI regulations due to locum bookings that have been worked).

How can you access, amend and take back your data

You can access your data at any time by logging into your profile on our system, you are able to amend this data yourself. Should you require any more information on the data we hold you can contact us directly and we can discuss and amend data then.

If we are using your data because we deem it necessary for our legitimate interests to do so, and you do not agree, you have the right to object. We will respond to your request within 30 days (although we may be allowed to extend this period in certain cases). Generally, we will only disagree with you if certain limited conditions apply.

Existing data with us

We will endeavour to guarantee that all Personal Data that you have submitted to us is maintained and up to date. However, it is your responsibility to inform us of any changes to your Personal Data to ensure that it is up to date.

Where we currently hold personal information about you, you may at any time request that we modify, update, erase or provide a copy of this information to you. We may only refuse your request where we are legally obliged to do so. Where your request has been refused we will provide you with the reasons for this refusal. We will then hold such data for only as long as it is required by law.
